Once a booking confirmation has been issued, cancellation requests must be made in writing via email to relaxing.retreats1@gmail.com from the lead guest, acting on behalf of the entire group. Cancellation charges will apply based on the date we receive written notification of the cancellation of the entire booking.

All monies paid for accommodation will incur the following cancellation charges:

Standard Rate Policy:

If you cancel more than 5 days before the first day of your stay, you will receive a refund of all accommodation payments made, along with any damages deposit.

If you cancel 5 days or less before the start of your stay, you will receive a refund of your damages deposit and any cleaning fee paid.

No refunds or credit notes will be issued if you or any member of your group chooses to leave early or does not utilise any included services.

Non-Refundable Rate Policy:

If you cancel your booking at any time after making the reservation, you will receive a refund of your damages deposit and any cleaning fee paid, but no refund will be issued for the accommodation itself.

We will not be liable for any expenses, costs, or losses incurred by you or your group members as a result of any changes, whether significant or not

Yes, We do offer long-term stays depending on availability. Kindly book upto 30 days and contact us.

Check-In & Check-Out

Check-in time is 3pm onwards and check-out time is before 11am.

Contact us please. Please note that check-in time is from 3 PM onwards. If the property is available and there’s no guest staying prior to your arrival, yes we can accommodate, (charges apply). If there is any possibility we will organise it for you. Kindly contact us at the earliest possible.

Contact us please. Please note that check-out time is before 11 AM. It allows us to properly prepare the property for the next Guest. If Guest has not vacated by the specified time, a late check-out fee of £50 per hour (or part thereof) will be applied, unless prior arrangements have been made with us. We will always try and accommodate late check outs, but it depends on availability. Please contact our team if you need a late check out and we will be able to look into this for you. (charges applies)

Authorised early check-in or late check-out is available at £23 per hour.

Cleaning Schedule: If there’s a tight turnaround between guest stays, our House keeping team will need more time for cleaning and preparation, making early check-ins less feasible. But we will try to help you where ever possible.

You will receive all check in instructions via email at 2pm on the day of arrival once your booking has been confirmed and damage deposit has been pre authorised. 

Property Rules & Policies

You need to be 21 or over in order to book with us, however, guests staying with you can be under 18 as long as there is a supervising adult or carer.

Yes, it depends on accommodation and charges apply. This pays for the enhanced cleaning and allergen removal.

For stays of 1 to 7 days: £25 per pet per night

  For stays of 8 to 14 days: £22 per pet per night

   For stays of 15 to 30 days and longer: £19 per pet per night

Yes, we provide towels, bedding, and basic toiletries for your stay. These are included in your accommodation and will be provided for the duration of your visit. If you have any specific requests or require additional items, please let us know in advance. (Depends on availability)

STRICTLY NO PARTIES OR EVENTS OF ANY KIND.

For the lost key there will be a charge of £120 as we need to change the entire lock 

To maintain a peaceful environment for all residents, please keep noise to a minimum between 20:00 and 08:00. This includes refraining from loud music or hosting parties. While we want you to have a great time, we also value our neighbor’s need for restful sleep

Smoking is strictly prohibited inside the property or within the premises of property. If you wish to smoke, please do so outside the premises, on the street. Any additional cleaning charges incurred due to smoking within the premises will be deducted from your deposit.

Cleaning fees: These are typically added to the total cost of your stay to cover the cleaning of the property after your visit.

Security deposits: There will be a damage deposit of £150, pre-authorised and refundable upon check-out provided, no damages are found.

Additional services: 

Authorised early check-in or late check-out £23 per hour.

Charges applies for unauthorised early check-in or late check-out £50 per hour.

If you realise you have left any items behind after checking out, please contact us immediately via email relaxing.retreats1@gmail.com  or Whatsapp  (provide WhatsApp web link not number)  with your Name, booking number, and a description of the items. Once we confirm we have your lost property, it will be stored free of charge for seven days. We might be able to post it for a fee.

 Safety & Security

Yes, all our properties are safe and secure. They are located in residential area with good access to local amenities and the neighbourhood is well-maintained. Additionally, the properties are fully equipped with security features such as secure locks on doors and windows. The area has a community feel and are close to public transport, which adds to the convenience and safety of the location.

Smoke detectors in key areas of the house to alert you in case of fire. Carbon monoxide detectors to ensure safety from potential gas leaks. We have fire blankets in all kitchens & Heat alarms in kitchens. Secure locks on doors and windows to provide peace of mind.

Dundee is generally considered a safe city, and areas like Clepington Road and Eastwell Gardens in residential neighbourhoods are relatively peaceful. However, as with any city, it’s advisable to exercise caution when walking around at night.

Leeds is generally safe to walk around at night, especially in well-lit, busy areas like the city centre. However, as with any city, safety can vary depending on the specific neighbourhood and time of night. Osmondthorpe (LS9) is primarily a residential area, and while it is not known for high crime rates, it’s always a good idea to be cautious when walking alone at dusk.

Stick to main roads and well-lit areas: Avoid poorly lit or secluded alleys.

Travel with others: Walking in groups is safer than walking alone.

Plan your route: Know where you’re going and the safest way to get there.

Avoid distractions: Stay alert by keeping your phone and valuables secure.

Use reliable transportation: If you’re far from your destination, consider taking a taxi service instead of walking.

Damage Deposit

 You may be required to pay a refundable damages deposit of  £150 calculated on the particular property that you book. We will advise you of the total amount of the deposit and the date by which payment of the deposit is required if applicable.

Xplore Dundee Route 5: This bus runs daily, connecting various stops in Dundee, including major ones like Ninewells Hospital, Broughty Ferry and has stops near Eastwell Gardens. The bus operates from around 04:57 AM to 11:05 PM with a frequency of 12 to 46 minutes depending on the day.

Additionally, Dundee Bus Station is within reach for other connections, offering further access to the city’s public transport network​

The area is well-served by local bus routes. Key services include:

Bus 18: Operates between the City Centre and Kirkton, passing through Clepington Road and other key locations like Arklay Street and Kingsway Campus.

The nearest bus stops to the property are at Park Road and Fairfield Street, both within a short walk. Bus schedules vary, with the first bus on Route 18 departing around 5:15 AM and the last one returning by 11:49 PM, ensuring frequent service throughout the day​

Complaints

If you do not notify us of a complaint or any issues immediately and instead inform us only after your departure, we will not be able to consider any requests for compensation. However, if you report a problem during your stay, we will make every effort to resolve it within 24 hours of receiving your notification.

Special events or festivals may take place locally during your visit. While we understand these might cause inconvenience due to noise, traffic, or other disruptions, we cannot be held responsible for any such impacts. It is your responsibility to check for events scheduled during your stay. Local councils approve these festivals, street parties, or similar activities, and we are unable to offer compensation or alternative accommodations if such events cause inconvenience or disturbance during your visit.
